Moving your entire office is never a treat. Yet, sometimes, there’s no way around it. Maybe you’re rapidly expanding, or perhaps your lease is up, or maybe it’s just time for a change. Whatever the reason, there are many challenges to office moving, so keep these top five issues in mind.

1.  Productivity Losses

Even if you are a small business, you will need to plan for at least two days to pack, move, and unpack everything. It is impossible to have zero productivity losses before, during, and right after the move, so build them into your plan. The better you can plan for these, the better off your bottom line will be.

Move over a weekend if you can to minimize downtime. But be aware, weekend rates are often higher for movers, so build this into your budget. You will have to swap financial savings for time savings. You could also allow your employees to work remotely while the office relocation is taking place.

2.  Space Planning

Plan out the new space and make sure all your existing furniture and equipment can fit. If not, try reconfiguring, or selling off some stuff. Make it a point to know where all the electrical and phone connections are, where the conference room will be, where you can hang a TV, and how you will store office files.

Plan out all details, from choosing furniture to where you’ll put the water dispenser and microwave. Take this time to plan out shared workstations amongst employees.

3.     Budget

Get quotes from local vendors, such as movers, utility companies, etc. Once you have your budget set, stick to it but realize emergencies and delays will come up that may eat into that budget. Factor in the cost of lost productivity as well.

4.  Coordination

The lack of coordination can be a big challenge when moving your office. It’s tough to keep everyone on the same page. Hire a project manager to ensure seamless logistics. Keep all employees in the loop so they know when to pack their desks and when they should arrive at the new location.

5.  Differentiate Between Old and New

To mark the change and make a fresh start, you could furnish your new office with everything new to mark the change. Or you can bring all the old stuff with you, or do a combination of the two. Whatever you do, make sure you understand where to draw the line so you can balance both propositions.
